What is Vital Registry?

Vital Registry is a CRM system for independent BEMER therapy device distributors. It manages rentals, clients, partners, contracts, calendar, and payments in one place — no spreadsheets or separate tools required.

Who is Vital Registry for?

Independent BEMER therapy device distributors — primarily solo operators and small offices. If you manage 5–500 clients and deal with rentals, sales, and contracts on a daily basis, Vital Registry was built for you.

How much does it cost? Do I need a credit card?

Nothing — Vital Registry is completely free, with no trial period. Every feature is available after registration, no credit card required. There are no plans and no subscriptions. If you find it useful, you can voluntarily support development, but it is never required.

Why not just use a spreadsheet?

A spreadsheet works fine for the first few clients. As your portfolio grows, problems multiply: manual duplications, missed expiry dates, overlapping rental periods. Vital Registry automatically checks for conflicts, alerts you to expiring rentals, and generates consistent contracts — tasks that spreadsheets require separate effort for, with human error at every update.

Why not a generic CRM like Salesforce, HubSpot, or Notion?

Generic CRMs are expensive, enterprise-scale tools that don't understand BEMER rental logic. They have no control-unit fields, no partner–client rental hierarchy, no Hungarian contract templates, no BEMER device types, and no Gantt view for rented devices. You'd have to configure everything yourself — and the result still wouldn't be as precise as a purpose-built solution.

How do I migrate from my existing spreadsheet?

You don't have to move everything at once. The most common approach: start by adding your active clients and ongoing rentals, then your device inventory. Importing historical transactions is optional — the system is fully operational from day one with just your current data. If you need help with the migration, write to us and we'll guide you personally.

Can I export my data?

Yes. Rental and transaction data can be exported as CSV, which Excel, Google Sheets, or any invoicing tool can read. Your data is always yours — we are not a locked-in system, and you can take your data with you at any time.

What happens to my data if the service shuts down?

If we ever needed to shut down, we would give at least 90 days' notice by email and make full data export available (CSV + contract attachments). Your data is stored in Google Cloud Firestore — the infrastructure remains accessible until your account is active. We deliberately keep data in open formats to reduce the risk that comes with a small development team.

GDPR: how do I delete my account and data?

You can request account and full data deletion from the settings page or by email. Upon deletion, all Firestore records and Storage attachments are permanently removed within 30 days. Your data is stored on EU servers (europe-west1 region) and is never shared with third parties. All deletion requests are handled under GDPR Article 17.

Does Vital Registry work for non-Hungarian distributors?

Yes, with some caveats. The interface is available in English and the app supports EU B2B contracts with reverse-charge VAT. However, the built-in contract templates are designed for the Hungarian legal framework. Distributors operating in other countries can customise the templates to match their local requirements, but you'll need to review the legal wording with a local adviser.

Which markets are the contract templates designed for?

The default templates are written for Hungarian sole distributors operating under Hungarian civil law. They include fields for Hungarian tax number (adószám), bank account, and VAT treatment. For EU cross-border B2B transactions the reverse-charge clause is included. Distributors in other markets can edit the template text freely — the rich-text editor lets you adapt any clause without coding.

Are there automatic backups?

Yes. Google Cloud Firestore provides daily automatic Point-In-Time Recovery (PITR) backups — your data can be restored to any previous state within the last 7 days. Contract attachments (PDFs, images) are stored in Firebase Storage, which also has built-in redundancy. Manual backups are unnecessary, but the export function lets you create your own copy at any time.

Can I customise the contract templates?

Yes. Both the rental and sale contract templates are editable: you can modify the text, add custom clauses, and enter your business details (address, tax number, bank account). The templates are HTML-based, so formatting is flexible. Changes are automatically applied to every new contract you generate.

Is two-factor authentication available?

Yes. Vital Registry uses Firebase Authentication, which supports sign-in via Google (with Google's own 2FA) and email + password. For email-based login, two-step verification via Google Authenticator or SMS can be activated in your account settings. All client and contract data is scoped to your user ID — no other user can see your records.

Does it integrate with invoicing?

Rental and transaction data can be exported as CSV and fed into any invoicing tool. There is no direct invoicing software integration at this time.

Which devices are supported?

The system was built and optimized for managing BEMER therapy device rentals (Pro / Pro Plus, Spot Stim, Vet Pro, control units). You can register other medical devices too, but domain-specific fields (e.g. control unit serial number) are BEMER-oriented.

Is Vital Registry affiliated with BEMER Group?

No. Vital Registry is an independent software built by distributors, for distributors. It has no connection to BEMER International AG or the BEMER Group. The word "BEMER" appears only to identify the device type — Vital Registry is not an official BEMER tool and is not endorsed by the manufacturer.

Does it work on mobile?

Yes — the interface is fully responsive and works on phones and tablets. There is no dedicated native app; the browser-based web app opens and runs fast on any modern mobile device.
